Automatically Import Square Sales Summary Reports into Google Sheets
Live

By Rosh Ragel

What It Does This workflow automatically connects to the Square API and generates a daily sales summary report for all your Square locations. The report matches the figures displayed in Square Dashboard > Reports > Sales Summary. It's designed to run daily and pull the previous day's sales into a Google Sheet for easy analysis and reporting. This workflow builds on my previous template, which allows users to automatically pull data from the Square API into N8N for processing. (See here: https://n8n.io/workflows/6358) Prerequisites To use this workflow, you'll need: A Square API credential (configured as a Header Auth credential) A Google Sheets credential How to Set Up Square Credentials: Go to Credentials > Create New Choose Header Auth Set the Name to "Authorization" Set the Value to your Square Access Token (e.g., Bearer <your-api-key>) How It Works Trigger – The workflow runs daily at 4:00 AM Fetch Locations – An HTTP request retrieves all Square locations linked to your account Fetch Orders – For each location, an HTTP request pulls completed orders for the specified report_date Filter Empty Locations – Locations with no sales are ignored Aggregate Sales Data – A Code node processes the order data and produces a summary identical to Square’s Sales Summary report Append to Google Sheets – The data will automatically be appended to an existing Google sheet Example Use Cases Automatically store daily sales data in Google Sheets for analysis and historical tracking Automatically create charts or visualizations from the imported data Build weekly/monthly reports after running for multiple days Quickly calculate commissions or rent payments based on sales volume How to Use Configure both HTTP Request nodes to use your Square API credential Set the workflow to Active so it runs automatically Select the Google Sheet you want to import data into, and map the data to your columns Customization Options Add pagination to handle locations with more than 1,000 orders per day Expand the workflow to save or send the report output via other integrations (email, database, webhook, etc.) Why It's Useful This workflow saves time, reduces manual report pulling from Square, and enables smarter automation around sales data—whether for operations, finance, or performance monitoring. Comprehensive Research Report Generator with Gemini AI, Web Search & PDF Delivery
Live

By Hichul

This workflow is an autonomous AI research assistant that transforms a single topic into a comprehensive, multi-chapter report. Designed for researchers, students, and content creators, it automates the entire process from planning and online research to writing, formatting, and delivering a final PDF report directly to your email. How it works Trigger: The workflow begins when a user submits a research topic and an email address through a form. AI Planning: An AI agent breaks the main topic into five focused subtopics. It then generates an engaging report title, a detailed introduction, and chapter headings, saving this initial structure to a Google Sheet. Parallel Research and Writing: The workflow then splits into five parallel paths, one for each subtopic. In each path, it uses the Tavily Search API to gather real-time information from the web. A dedicated AI writer then synthesizes this research into a complete, well-formatted HTML chapter with inline citations. Content Aggregation: As each chapter is completed, its content, sources, and section titles are saved to the central Google Sheet. Final Assembly and Delivery: Once all chapters are written, the workflow compiles the title, introduction, a newly generated table of contents, all chapters, and a complete list of sources into a single HTML document. This document is sent to APITemplate.io to be converted into a professionally formatted PDF, which is then emailed as an attachment to the address provided in the form. Set up steps Google Sheets: Make a copy of the provided Google Sheet Template. Connect your Google account in the credentials menu. Update all Google Sheets nodes to use your copied sheet by selecting it from the list. AI Language Model (Google Gemini): Sign up for an API key from the Google AI Platform. Connect your account in the Google Gemini Chat Model nodes. This template is pre-configured for the affordable gemini-pro-flash-lite model. Tavily Search API: Sign up for a free account at Tavily and get an API key. In the Tavily HTTP Request nodes, create a new Header Auth credential. For the Name, enter X-Tavily-API-Key and for the Value, paste your Tavily API key. APITemplate.io: Sign up for a free account at APITemplate.io and get an API key. Connect your account in the Generate PDF node's credentials. Gmail: Connect the Gmail account you want to send the final report from in the Send Report node's credentials. Automated Inbox Organization for Outlook using GPT-4.1 Agent
Live

By AlexAutomates

Auto-Categorize Outlook Emails with AI in n8n How It Works Trigger: The workflow starts with the Microsoft Outlook Trigger node, polling your inbox every minute for new emails. Extract & Clean Email Content: The email’s key fields (from, subject, isRead, body) are extracted. The body is converted from HTML to Markdown, then sanitized to plain text for reliable AI processing. Node Setup Details: Microsoft Outlook Trigger Resource: Message Operation: Trigger on new email Fields to Output: from, subject, isRead(optional), body Folders to Include: (Set to your Inbox or specific folder IDs) Markdown Node Input: {{$json"body"}} (HTML email body) Output Key: Email Body Markdown Purpose: Converts HTML to Markdown for easier downstream processing. Sanitize Node (Code Node) Input: Email Body Markdown from previous node Purpose: Cleans up Markdown, strips images, links, HTML tags, table formatting, and truncates to 4000 characters. Sample JS Code: // Get the markdown content from the previous node const markdownContent = $input.item.json["Email Body Markdown"]; Setup AI tools Move message and Get Folders Outlook tools are required, get contacts is optional. Set each field in the tools to "defined automatically by the model" and describe each field so the model understands how to use it. OpenRouter or other LLM models tool: You can use any client for this, but make sure to use a model that does well with tool calls (Claude, GPT-4.1, Gemini 2.5 Pro, etc.). Best Practices & Notes AI Prompt Engineering:** The AI is instructed to be conservative—never move emails from real people or saved contacts, and always explain its reasoning if it doesn’t move a message. This automation only works for NEW incoming messages. Inbox Zero:** This system is designed to help you achieve and maintain Inbox Zero by keeping only actionable items in your main inbox. Customization:** You can adjust the folder logic, add more categories, or tweak the AI prompt for your specific needs. Privacy:** All processing happens within your n8n instance; no email data is stored outside your environment except for the AI call (which only receives sanitized, minimal content). Automated Gmail Reply Drafts with OpenAI Assistant for Labeled Emails
Live

By Hichul

n8n workflow template description [template] This workflow automatically drafts replies to your emails using an OpenAI Assistant, streamlining your inbox management. It's designed for support teams, sales professionals, or anyone looking to accelerate their email response process by leveraging AI to create context-aware draft replies in Gmail. How it works The workflow runs on a schedule (every minute) to check for emails with a specific label in your Gmail account. It takes the content of the newest email in a thread and sends it to your designated OpenAI Assistant for processing. A draft reply is generated by the AI assistant. This AI-generated reply is then added as a draft to the original email thread in Gmail. Finally, the initial trigger label is removed from the email thread to prevent it from being processed again. Set up steps Connect your accounts: You'll need to connect your Gmail and OpenAI accounts in the respective nodes. Configure the trigger: In the "Get threads with specific labels" Gmail node, specify the label that you want to use to trigger the workflow (e.g., generate-reply). Any email you apply this label to will be processed. Select your OpenAI Assistant: In the "Ask OpenAI Assistant" node, choose the pre-configured Assistant you want to use for generating replies. Configure label removal: In the "Remove AI label from email" Gmail node, ensure the same trigger label is selected to be removed after the draft has been successfully created. Activate the workflow: Save and activate the workflow to begin automating your email replies. An n8n automation workflow template by Hichul.

Export Jamf Policies to Slack as CSV for Instant Auditing
Live

By Jean-Marie Rizkallah

🧩 Jamf Policies Export to Slack Quickly export and review your entire Jamf policy configuration—including triggers, frequencies, and scope—directly in Slack. This enables IT and security teams to audit policy setups without logging into Jamf or generating reports manually. ❗The Problem Jamf Pro lacks a straightforward way to quickly review or share a list of all configured policies, including key attributes like frequency, scope, or triggers. Security teams often need this for audit or compliance reviews, but navigating Jamf’s UI or exporting via the API is time-consuming. 🔧 This Fixes It This workflow fetches all policies, extracts the most relevant fields, compiles them into a csv file, and posts that readble file into a designated Slack channel—automatically or on demand. ✅ Prerequisites • A Jamf Pro API key (OAuth2) with read access to policies • A Slack app with permission to post files into your chosen channel 🔍 How it works • Manually trigger or use the webhook to initiate the flow • Retrieve all policies from Jamf via the XML API • Convert the XML response into JSON • Split and loop through each policy ID • Retrieve detailed data for each policy • Format relevant fields (ID, name, trigger, scope, etc.) • Convert the final data set into an .csv file • Upload the file to your Slack channel ⚙️ Set up steps • Takes ~10 minutes to configure • Set the Jamf BaseURL in the “Jamf Server” node • Configure Jamf OAuth2 credentials in the HTTP Request nodes • Adjust the fields for export in the “Set-fields” node • Set your Slack credentials and target channel in the “Post to Slack” node • Optional: Customize the exported fields or filename 🔄 Automation Ready Schedule this flow daily/weekly, or tie it to change events to keep your team informed. Generate & Distribute Market Reports with Google Docs, Sheets, and Gmail
Live

By Marth - Business Automation

How It Works ⚙️ This workflow is a powerful automation engine for your marketing efforts. On a set schedule, it automatically generates a professional market report and distributes it to your client list, positioning you as a market expert with zero manual effort. 0. Cron (Monthly Schedule): ⏰ The workflow is triggered automatically on the first day of every month at a specified time (e.g., 8:00 AM). 1. HTTP Request (Get Market Data): 📊 It connects to an external market data API to fetch the latest raw statistics and trends for your region. 2. Function (Process Data): 📝 This node processes the raw API data, formats it, and calculates key metrics (e.g., total sales, average price) to be used in the final report. 3. Google Docs (Create Report): 📄 Using a pre-designed Google Docs template, the workflow dynamically creates a new report document, filling in the placeholders with the data processed in the previous step. 4. Google Sheets (Get Client List): 📋 It fetches your client mailing list from a Google Sheet, which acts as your central database for client contacts. 5. Split In Batches: 🔄 This node ensures that each client from the mailing list is processed individually, preventing any issues with bulk emailing. 6. Gmail (Send Report): 📧 For each client, a personalized email is sent with the newly generated market report attached as a PDF, completing the distribution process. How to Set Up 🛠️ Setting up this complex workflow requires careful configuration of each node and external services. Import Workflow JSON: Open your n8n instance. Click on 'Workflows' in the left sidebar. Click the '+' button or 'New' to create a new workflow. Click the '...' (More Options) icon in the top right. Select 'Import from JSON' and paste the entire JSON code for this workflow. Prepare Your Data & Tools: Market Data API: Obtain an API key or access for a market data service that provides the data you need. This could be a public service or an internal one. Google Docs Template: Create a Google Docs template for your market report. Use placeholders like {{ averagePrice }}, {{ totalSales }}, and {{ reportMonth }} for the data you want to insert. Client Mailing List: Create a Google Sheet with a list of your clients. It must have columns like Client Name and Client Email. n8n Credentials: Ensure you have configured OAuth2 credentials for both Google Sheets and Google Docs. Configure 0. Cron (Monthly Schedule): The node is pre-configured to run on the 1st of every month at 8 AM. You can adjust the hour or dayOfMonth if needed. Configure 1. HTTP Request (Get Market Data): Locate the '1. HTTP Request (Get Market Data)' node. URL: Replace https://api.your-market-data-service.com/data/monthly?region=Jakarta with the actual URL of your market data API endpoint. Authentication: Configure the authentication (e.g., Header Auth for an API key) according to your API provider's documentation. Configure 2. Function (Process Data): Locate the '2. Function (Process Data)' node. Data Mapping: The code is an example. You MUST update the code inside this node to correctly parse the JSON data coming from your specific API call and extract the metrics you need. Expressions: Ensure the variable names (totalSales, averagePrice, etc.) match the placeholders in your Google Docs template. Configure 3. Google Docs (Create Report): Locate the '3. Google Docs (Create Report)' node. Credentials: Select your Google Docs OAuth2 credential. Document ID: Replace YOUR_GOOGLE_DOCS_TEMPLATE_ID with the ID of the template you created. Template Variables: Ensure the variable names (averagePrice, totalSales, etc.) perfectly match the placeholders in your Google Docs template. Configure 4. Google Sheets (Get Client List): Locate the '4. Google Sheets (Get Client List)' node. Credentials: Select your Google Sheets OAuth2 credential. Spreadsheet ID: Replace YOUR_CLIENT_MAILING_LIST_SPREADSHEET_ID with the ID of your client list sheet. Sheet Name: Enter the exact name of the sheet (tab) containing your client data. Configure 5. Split In Batches: This node requires no configuration. It will automatically process each client from the Google Sheets list one by one. Configure 6. Gmail (Send Report): Locate the '6. Gmail (Send Report)' node. Credentials: Select your Gmail OAuth2 credential. From Email: Replace your-agency-email@example.com with the email address you want to send from. To Email: ={{ $json['Client Email'] }} (This pulls the email from the current batch item). Attachments: The node is set up to attach the file created by the Google Docs node. No changes are needed here unless you want to customize the file name. Review and Activate: Thoroughly review all node configurations. This is a complex workflow, so be meticulous. Click 'Save' and then toggle the 'Inactive' switch to 'Active' to enable your workflow. 🟢 Your automated marketing engine is now live!. Automate CV screening and applicant scoring from Gmail to Airtable with AI
Live

By Fahmi Fahreza

Quick overview This workflow automatically processes job applications received via Gmail. It extracts the job code from the email subject and parses the attached CV using Gemini AI to retrieve applicant details. Each applicant is then scored against job requirements fetched from Airtable, with results and AI notes logged automatically to Applications table. How it works The workflow watches for new emails with attachments arriving under a specified Gmail label and triggers automatically on each new match. The job code is extracted from the email subject line (e.g., FN-001) and raw text is extracted from the attached CV PDF file. Gemini AI parses the extracted CV text and returns structured applicant data including name, email, years of experience, and skills. The extracted job code is used to retrieve the matching job post details and requirements from your Airtable Job Posts table. Gemini compares the applicant's profile against the job requirements, assigns a score from 1–100, and generates a brief reasoning summary in Bahasa Indonesia. The applicant's data, score, and AI-generated notes are saved as a new record in the Airtable Applications table. Setup Prepare your Airtable base with two tables: Job Posts (Job Code, Job Title, Required Skills, Minimum Experience, Job Description) and Applications (Applicant Name, Email, Score, Notes) with a linked field pointing to Job Posts. Add your Gmail, Google AI (Gemini), and Airtable credentials in the n8n Credential Manager before configuring any nodes. Open the Gmail Trigger node and set your label filter (e.g., label:job-applications). In the Extract Job Code node, verify the regex matches your format — default is ([A-Z]{2}-\d{3}). Open both the Find Job Post and Save Applicant Airtable nodes and select your correct base and table in each. Save and activate the workflow — new CV submissions will now be processed, scored, and logged to Airtable automatically. Automated Lead Nurturing & Qualification with Gmail, Google Sheets & Slack
Live

By Marth - Business Automation

How It Works ⚙️ This workflow automates the entire lead management lifecycle, from initial capture and qualification to agent assignment and personalized nurturing, ensuring no lead is left behind and agents focus on high-potential prospects. 0. Webhook / Form Trigger (Lead Capture): 🚀 The workflow initiates immediately when a new lead submits an inquiry form on your website, a landing page, or via a webhook from an external lead source (e.g., Zillow, Realtor.com if integrated). 1. Qualify & Categorize Lead (Function / If): 📝 This node processes the incoming lead data. It can: Validate essential information (e.g., valid email/phone). Categorize the lead based on source, property interest, or keywords in their message (e.g., "Buyer", "Seller", "Rental Inquiry", "Hot Lead"). Assign a preliminary "lead score" if desired. 2. Update CRM (HubSpot / Salesforce / Custom): 📊 The lead's details, along with their assigned category and score, are immediately pushed to your Customer Relationship Management (CRM) system. This ensures a centralized and always-updated database. 3. Assign Agent (Function / Google Sheets Lookup): 🧑‍💻 Based on the lead's category (e.g., location interest, property type, lead score), this node dynamically assigns the lead to the most appropriate agent in your team. This can involve looking up agent availability or specialization from a Google Sheet. 4. Initial Auto-Response (Gmail / SendGrid): 📧 An immediate, personalized email is sent to the lead. The content of this email can vary based on the lead's category (e.g., a "Thank you for your inquiry" for a general lead, or "Here's more info on [Property Name]" for a specific property inquiry). 5. Notify Assigned Agent (Slack / Gmail): 📢 The newly assigned agent receives an instant notification via Slack or email with all the lead's details and any assigned tasks or next steps. 6. Start Nurturing Sequence (Wait / Gmail / If): 🔄 Based on the lead's category and score, a multi-stage nurturing sequence is initiated. This typically involves: Wait Node: Pauses for a predefined period (e.g., 3 days, 7 days). Email Node: Sends a follow-up email with relevant information (e.g., similar properties, neighborhood guides). If Node: Checks if the lead has responded or taken any action (e.g., opened previous email, clicked a link) to decide the next step in the sequence, or to exit the sequence if the lead has been engaged by an agent. This part can be significantly expanded. How to Set Up 🛠️ Setting up this comprehensive workflow requires careful configuration of each node and understanding of your lead management rules. Prepare Your Data Sources & Tools: Lead Capture Form/Source: Ensure your website forms or external lead sources can send data to a webhook or are accessible via API. CRM System: Have your CRM (e.g., HubSpot, Salesforce, or a custom Google Sheet/Airtable setup) ready for integration. You'll need API keys/credentials. Agent Assignment Logic (Optional Google Sheet): If using rules-based assignment, prepare a Google Sheet listing agents, their specialties, and areas. Email Sending Service: Gmail, SendGrid, Mailchimp, etc., with necessary credentials. Internal Communication Tool: Slack or another email account for agent notifications. Configure 0. Webhook (Lead Capture): Locate the '0. Webhook (Lead Capture)' node. Activate the workflow once it's fully configured. n8n will provide a unique 'Webhook URL'. Crucial Step: Configure your website forms or external lead sources to send data (usually JSON) to this 'Webhook URL' whenever a new lead is captured. Test Data: Submit a test lead through your form to see the incoming data structure in n8n. This is vital for configuring subsequent nodes accurately. Configure 1. Qualify & Categorize Lead (Function): Locate the '1. Qualify & Categorize Lead (Function)' node. Customize Logic: Review the functionCode within this node. Adjust lead.name, lead.email, lead.phone, lead.message, lead.source to accurately match the field names coming from your webhook trigger. Implement or refine the simple categorization logic (e.g., if (message.toLowerCase().includes('buy'))) to fit your specific lead types and scoring criteria. Output new data points like leadCategory and leadScore. Configure 2. Update CRM (Google Sheets): Locate the '2. Update CRM (Google Sheets)' node. Credentials: Set up or select your Google Sheets OAuth2 credential. Spreadsheet ID: Replace YOUR_CRM_SPREADSHEET_ID with the ID of your Google Sheet serving as your CRM. Sheet Name: Enter the exact name of the sheet (tab) (e.g., Leads). Operation: Ensure it's set to Append. Map Data: Map the extracted lead details (name, email, phone, message, source, leadCategory, leadScore, captureDate, assignedAgentEmail, assignedAgentName, Status) to the corresponding column headers in your Google Sheet. Ensure the column names in the JSON match your sheet exactly. Configure 3. Assign Agent (Function): Locate the '3. Assign Agent (Function)' node. Customize Logic: Review the functionCode. Agent Data: The example uses hardcoded agents. For a real system, you'd likely fetch agents from another Google Sheet (using a Google Sheets node before this function) or an internal database. Assignment Rules: Modify the logic to fit your team's assignment rules (e.g., round-robin, based on lead category, property location, agent availability). Ensure the function outputs assignedAgentEmail and assignedAgentName. Configure 4. Initial Auto-Response (Gmail): Locate the '4. Initial Auto-Response (Gmail)' node. Credentials: Select your existing Gmail OAuth2 credential. From Email: Replace your-agency-email@example.com with your actual sending email address. To Email: ={{ $json.email }} (the lead's email from the incoming data). Subject & HTML: Customize the subject and email body. Use expressions like {{ $json.name }} for personalization. Remember to replace [YOUR_WEBSITE_LINK] with your actual website link. Configure 5. Notify Assigned Agent (Slack): Locate the '5. Notify Assigned Agent (Slack)' node. Credentials: Select your existing Slack API credential. Channel: Replace YOUR_SLACK_CHANNEL_ID_OR_NAME with the Slack channel where you want notifications (e.g., #new-leads or a specific agent's channel if you have one per agent). Text: Customize the message to include all relevant lead details for the agent. Remember to replace [CRM_LINK_HERE] with a direct link to your CRM where the agent can view the lead. Configure 6. Nurturing Sequence - Wait 1: Locate the '6. Nurturing Sequence - Wait 1' node. Amount & Unit: Adjust amount (e.g., 3) and unit (e.g., days) to define the waiting period before the first nurturing email. Configure 7. Nurturing Sequence - Email 1 (Gmail): Locate the '7. Nurturing Sequence - Email 1 (Gmail)' node. Credentials: Select your Gmail OAuth2 credential. From Email: Replace your-agency-email@example.com with your actual sending email. To Email: ={{ $json.email }}. Subject & HTML: Customize the follow-up email content. This is your first nurturing touchpoint. Use expressions like {{ $json.name }}. You can add more nurturing steps by adding more 'Wait' and 'Gmail' nodes, potentially with 'If' nodes to branch based on lead engagement. Review and Activate: Thoroughly review all node configurations. Ensure all placeholder values (like YOUR_... and example emails) are replaced with your actual information. Click the 'Save' button in the top right corner. Finally, toggle the 'Inactive' switch to 'Active' to enable your workflow. 🟢 Your "Comprehensive Lead Nurturing & Qualification" workflow is now live!. Automate Property Link Shortening & QR Code Generation with Google Sheets and Bitly
Live

By Marth - Business Automation

How It Works ⚙️ This workflow automatically takes a long property URL from your Google Sheet, shortens it, generates a QR code, and then updates your sheet with the new links. 0. Google Sheets (New/Updated Row Trigger): 🚀 The workflow starts by constantly monitoring a specified Google Sheet. It triggers when a new property listing row is added, or when an existing row's "Property Link" column is updated. 1. Shorten URL (HTTP Request - Bitly): 🌐 This node takes the long property URL from the Google Sheet. It then makes an API call to a URL shortening service (like Bitly) to generate a much shorter, shareable URL. 2. Generate QR Code (HTTP Request - QR Code API): 📱 Using the shortened URL from the previous step, this node makes another API call to a QR code generation service. It generates an image link for a QR code that, when scanned, directs users to your property. 3. Update Google Sheet (Update Row): ✅ Finally, this node takes the newly generated short URL and the QR code image link and writes them back into the corresponding row in your Google Sheet. This centralizes all the necessary links for your property listings. How to Set Up 🛠️ Follow these steps carefully to get your "Property Link Shortener & QR Code Generator" workflow up and running in n8n: Import Workflow JSON: Open your n8n instance. Click on 'Workflows' in the left sidebar. Click the '+' button or 'New' to create a new workflow. Click the '...' (More Options) icon in the top right. Select 'Import from JSON' and paste the entire JSON code for this workflow. Prepare your Google Sheet: Create a Google Sheet with columns for your property listings. Crucially, ensure you have a column for the original long property URL (e.g., Property Link), a column for the shortened URL (e.g., Short URL), a column for the QR code image URL (e.g., QR Code URL), and a unique identifier for each row (e.g., Property ID). Configure 0. Google Sheets (New/Updated Row Trigger): Locate the '0. Google Sheets (New/Updated Row Trigger)' node. Credentials: Select your existing Google Sheets OAuth2 credential or click 'Create New' to set one up. Spreadsheet ID: Replace YOUR_SPREADSHEET_ID with the ID of your Google Sheet. You can find this ID in the Google Sheet's URL. Sheet Name: Enter the exact name of the sheet (tab) within your spreadsheet (e.g., Listings or Properties). Trigger On: Choose Updated Row and select the column where your original long property link is located (e.g., Property Link). This ensures the workflow runs when you add or update a property link. Configure 1. Shorten URL (HTTP Request - Bitly): Locate the '1. Shorten URL (HTTP Request - Bitly)' node. Method: Set to POST. URL: https://api-ssl.bitly.com/v4/shorten Headers: Add Authorization with value Bearer YOUR_BITLY_ACCESS_TOKEN. (You'll need to generate a Generic Access Token from your Bitly account settings > Generic Access Token). Add Content-Type with value application/json. Body: Select Raw and JSON. In the JSON body, enter: {"long_url": "{{ $json[\"Property Link\"] }}"}. Ensure "Property Link" exactly matches your Google Sheet column header for the original URL. Response Format: Set to JSON. Configure 2. Generate QR Code (HTTP Request - QR Code API): Locate the '2. Generate QR Code (HTTP Request - QR Code API)' node. Method: Set to GET. URL: https://api.qrserver.com/v1/create-qr-code/?size=150x150&data={{ encodeURIComponent($('1. Shorten URL (HTTP Request - Bitly)').item.json.link) }} Here, {{ $('1. Shorten URL (HTTP Request - Bitly)').item.json.link }} refers to the output of the previous Bitly node. You can adjust size=150x150 as needed. encodeURIComponent is important to handle special characters in the URL. Response Format: Set to Binary. (This API directly returns the image, but we just need its URL which is in the url property of the response). Configure 3. Update Google Sheet (Update Row): Locate the '3. Update Google Sheet (Update Row)' node. Credentials: Select the same Google Sheets OAuth2 credential as in step 3. Spreadsheet ID: Use the same YOUR_SPREADSHEET_ID. Sheet Name: Use the same YOUR_SHEET_NAME_E.G._Listings. Key Column: Set this to a unique identifier for your rows, e.g., Property ID (assuming you have one in your sheet). Key Column Value: ={{ $json["Property ID"] }}. Make sure this matches your unique ID column from the Google Sheet. Update Columns: Add an entry: Column: Short URL (exact name of your short URL column in Google Sheet) Value: ={{ $('1. Shorten URL (HTTP Request - Bitly)').item.json.link }} Add another entry: Column: QR Code URL (exact name of your QR Code URL column in Google Sheet) Value: ={{ $('2. Generate QR Code (HTTP Request - QR Code API)').item.url }} (This will be the URL of the QR code image from the HTTP request response). Review and Activate: Thoroughly review all node configurations. Ensure all placeholder values (like YOUR_...) are replaced with your actual information and settings are correct. Click the 'Save' button in the top right corner. Finally, toggle the 'Inactive' switch to 'Active' to enable your workflow. 🟢 Your "Property Link Shortener & QR Code Generator" workflow is now live!. By iamvaar

🚨 DISCLAIMER (READ FIRST): This workflow is NOT HIPAA-compliant and NOT intended for production use. It is a test/demo prototype built for experimentation, education, and non-clinical evaluation purposes only. It does not include encryption, does not meet any regulatory standards, and must not be used with real patient data or PHI (Protected Health Information). The creator is not liable for any misuse or damage caused by deploying this workflow in a real-world or clinical environment. 🎥 Watch the Workflow Demo: https://youtu.be/1qt3sU2o4_Y?si=oA1CizPaO66_tKnc 🔧 Workflow Summary: This n8n workflow mimics a lightweight AI assistant for healthcare clinics by automatically analyzing patient symptoms and booking appointments. It uses no-code tools and basic AI integration to demonstrate automation potential in medical triage. 🩺 What it does: Patient submits a form (Cal.com or webhook) with name, contact, and symptoms AI processes the symptoms (via OpenRouter) and suggests the likely issue AI assigns a relevant department like Ortho, Neuro, etc. Books the appointment on the correct Google Calendar (department-wise) Saves the patient info to a Google Sheet for tracking Skips duplicate appointments for the same patient (based on name or contact) 📦 Tools Used: • n8n (Cloud or Self-Hosted) • OpenRouter (GPT-based AI model) • Cal.com (Booking system) • Google Calendar • Google Sheets ⚠️ For a HIPAA-Compliant Version (Future-Ready Notes): Self-host n8n to avoid vendor lock-in or BAA issues Run LLMs locally (LLaMA, Mistral) instead of APIs Replace Cal.com with a self-hosted calendar/booking tool Use end-to-end encryption for PHI transmission Store data in encrypted Postgres (with pgcrypto or similar) Implement access control and audit logging AND MANY MORE.... REFER/CONSULT RESPECTIVE AUTHORITIES FOR MORE INFO 💡 Use Case: This demo can help founders, developers, or healthtech explorers prototype AI-assisted clinic systems without writing code — but again, strictly for mock/demo workflows only. Google Drive Workflow with Nested Folder Support
Live

By Zain Ali

👤 Who’s it for Anyone* who needs to recursively fetch *all files** from a specific Google Drive folder, including files inside all its nested (child) folders. Ideal for automation builders, admins, and integrators who want to process, move, list, or report on all files in a complex folder tree. ⚙️ How it works / What it does This workflow will: Accept a Google Drive Folder ID as an input (from another workflow or trigger). Recursively discover all child folders starting from the parent, no matter how many levels deep. Collect all file IDs & names from every folder (parent + all descendants). Return a clean list of all found files (with IDs and names) for further automation, downloading, or processing. Key features: 💡 Works recursively (handles any depth of nested folders). 🏷️ Outputs file ID & file name for each discovered file. 🔄 Can be triggered by other workflows (great for modular automation). 🛠️ How to set up 1. Google Drive Credentials Make sure you’ve set up a Google Drive OAuth2 credential in n8n. Connect this credential to all Google Drive nodes in the workflow. 2. Parent Folder ID Input the Google Drive folder ID you want to start from. How to pass it:** If running standalone: update the When Executed by Another Workflow node with your folder ID. If called from another workflow: pass the folder ID as an input named id. 3. Check Set Nodes There are two Set nodes (Return parent and Return parent1) and one trigger (When Executed by Another Workflow) where you might want to update the hardcoded folder ID. ⚠️ Change these IDs to match your use case. 4. Run the Workflow Start the workflow (or execute it via another workflow). The result will be a flat list of files in all subfolders. ✅ Requirements 🟢 n8n instance 🟢 Google Drive OAuth2 credentials connected in n8n 🟢 A valid Google Drive folder ID to start from 🧑‍💻 How to customize Return Extra Data:** Add fields in the “Search files” node options to return more Google Drive file metadata (e.g., size, webViewLink). Filter by File Type:** Adjust the search query or add a filter node to only include certain file types (e.g., PDFs, Docs). Change Output Format:** Edit the “Edit Fields” Set node to structure your output differently. Integrate Further:** Add new nodes after the Loop to, for example, download, email, or sync files as needed. 🚨 Notes & Tips Performance:** This workflow is optimized for up to hundreds of folders. For very large Drive accounts (thousands of folders/files), consider pagination or batching. Credential Security:** Always use n8n’s built-in credential manager—never hard-code sensitive data. Static IDs:** As noted in the sticky note, make sure to update all hardcoded folder IDs for your production use. 🗂️ Node Overview When Executed by Another Workflow:** Accepts a folder ID (entry point). Google Drive – Get children folders:** Lists subfolders of the given folder. If:** Checks if the folder contains any subfolders. Execute Workflow:** Handles recursion (calls itself on child folders). Code:** Flattens all discovered folder IDs for next step. Loop Over Items:** Iterates over all folders to process files. Google Drive – Search files:** Finds all files in each folder. Edit Fields (Set):** Structures file data for output. Sticky Note:** Documentation and reminders inside your workflow. 🔄 Example Output [ { "file_id": "1A2B3C...", "file_name": "MyDoc.pdf" }, { "file_id": "2B3C4D...", "file_name": "Presentation.pptx" } ]. Preventing Google Sheets Quota Errors during Batch Processing
Live

By Viktor Klepikovskyi

Preventing Google Sheets Quota Errors during Batch Processing This template provides a robust solution for dealing with Google Sheets API rate limits. It is designed for workflows that update a large number of rows in a Google Sheet and frequently fail with "too many requests" errors. The template uses a Wait node connected to the error output of the Google Sheets node, creating a retry loop that delays execution for a set period before attempting the update again. To use this template, simply replace the placeholder Google Sheets nodes with your own credentials and sheet. You can find an example Google Sheet for this template here. For a full explanation of this approach, check out the blog post here. An n8n automation workflow template by Viktor Klepikovskyi.
